Prepare a one-page operating brief
Record employee and contractor counts separately, the states where people actually work, your pay frequency and your next intended payday. Add the systems used for hours, expenses and accounting. Explain whether you need help entering payroll, reviewing it, submitting it or resolving exceptions. These are separate responsibilities; a software subscription does not establish who performs each one.
Use rounded counts and a fictional employee in a first demonstration. Keep Social Security numbers, bank details, pay statements and tax notices out of a general website enquiry. If detailed onboarding follows, agree on the secure transfer method and authorized contacts first.
Ask the demonstrator to follow a complete pay cycle
Show how approved hours reach payroll, how an owner checks totals, what happens when an employee changes a bank account, and who approves the final submission. Ask for the actual funding and approval deadlines for your proposed schedule. Record any conditions rather than treating a sample timeline as a guaranteed launch date.
Include an ordinary exception: a missed hour entry, an off-cycle correction or a new employee starting mid-period. Ask which actions the employer performs and which the provider handles, whether an extra charge applies, and where the audit trail can be reviewed. A successful demonstration should make the handoffs understandable to the person who will run the process.
Compare the full scope and cost
Request a written estimate using your headcount and pay frequency. Separate base subscription, per-person charges, state registrations, year-end forms, additional payrolls, implementation and any advisory service. Mark each item included, optional or unavailable. Do not compare headline monthly prices when one estimate includes work the other leaves to your team.
Gusto is one product a small business may evaluate; eligibility, current features and pricing must be confirmed directly. A vendor appearing in a guide is not a statement that PayrollRite is already an approved partner or that the product fits every employer.
Keep ownership of the controls
The IRS explains that an employer can retain employment-tax responsibility when outsourcing payroll, with the result depending on the third-party arrangement. Ask who files each return, who makes each deposit, how you verify completion and how notices reach you. Ask your tax professional about the arrangement you are considering.
Before signing, write down the first payroll owner, backup approver, escalation contact and evidence required before go-live. Send PayrollRite your team size, work states, current system and the task you want help with through the existing enquiry form. The next step is to confirm the service scope, not assume a provider or start date.
